The Chillin' Rooms ("we", "us") is the data controller for personal information collected through this website and at the venue. We're based at Holt Rd, Liverpool L7 2PL. For anything relating to your personal data, contact us at chillinroomsnew@gmail.com.

The Chillin Rooms commits to safeguarding privacy for members, guests, staff and volunteers. Personal information collected for memberships, bookings, contact, age verification or venue administration will only be used where necessary and will be kept secure.

What we collect, and why

Membership sign-up (name, email, and payment details taken via our payment processor) — to set up and manage your membership. Legal basis: performance of a contract with you.
Bookings and event reservations (name, email) — to hold your spot and contact you about it. Legal basis: performance of a contract / legitimate interest in running the event.
Age verification — to confirm you're 18 or over before you can enter, book, or join, as required by our venue policy. Legal basis: legitimate interest in operating a compliant 18+ venue.
Marketing emails — if you give us your email at the desk (or online) and opt in to hear from us, we'll use it to send occasional news and event updates. Legal basis: your consent. You can unsubscribe at any time by emailing chillinroomsnew@gmail.com or using the unsubscribe link in any marketing email — we won't use your email for marketing unless you've clearly said yes.
Contact form enquiries — to respond to your message. Legal basis: legitimate interest / steps prior to a contract.
Staff and volunteer records — to run the venue. Legal basis: legitimate interest / legal obligation where applicable.

We do not collect payment card details ourselves — these are handled directly by our payment processor (via Wix Payments), and we never see or store your full card number.

Cookies and similar technologies

This site uses a small number of essential cookies and browser storage to run age verification and remember your cookie choice, plus platform cookies from Wix and our embedded Instagram feed.

Confidentiality between members

Member data remains confidential and cannot be distributed to other members or unauthorized parties.

No person may access, search, screenshot, copy, photograph or disclose another member's personal information without proper authorisation.

Only authorized staff and admins with legitimate job responsibilities may access member data. Login credentials and administrative accounts cannot be shared among users.

Unauthorized access attempts, account impersonation, misuse, or deceptive information gathering may result in membership suspension or cancellation and potential legal reporting.

Who we share data with

We use a small number of trusted service providers to run this site and take payments:

Wix — our website host and platform provider, and our payment processor for membership purchases.
Instagram / Meta — our homepage embeds our Instagram feed; if you interact with it, Meta may process data under their own privacy policy.

We don't sell your personal data, and we only share it with others where legally required or where there's another lawful basis to do so.

International transfers

Some of the providers above (including Wix and Meta) may process data outside the UK. Where this happens, they're required to have appropriate safeguards in place (such as the UK's International Data Transfer Agreement or adequacy regulations).

How long we keep information

Personal information will only be kept for as long as reasonably necessary for the purpose it was collected, and will be securely deleted when no longer required. As a guide: membership and booking records are kept for the duration of your membership plus a reasonable period afterwards for our own record-keeping and legal obligations; marketing email addresses are kept until you unsubscribe or ask us to delete them.

Your rights

Under UK GDPR, you have the right to: access the personal data we hold about you; ask us to correct it if it's wrong; ask us to delete it; restrict or object to certain processing; ask for a copy in a portable format; and withdraw consent at any time (for example, for marketing emails) without affecting anything done before you withdrew it. If you're unhappy with how we've handled your data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk — though we'd appreciate the chance to sort it out directly first.

Children

The Chillin' Rooms is a strictly 18+ venue. We do not knowingly collect personal data from anyone under 18.

Security

Members must protect their passwords and account security, reporting suspected breaches immediately. We take reasonable technical and organisational measures to keep personal information secure.

Changes to this policy

We may update this policy from time to time as our practices change or the law requires.

The date at the top shows when it was last revised. Information may only be disclosed where legally required or where there is another lawful basis to do so. Nothing in this policy limits any rights or protections provided under UK data protection law.

Additional Venue Information

The venue operates as strictly 18+ only for all bookings, memberships and entry. Valid photo identification may be required. Staff and volunteers accept no responsibility for patron choices or actions on premises.
